Getting started
QHow do I sign in or get an account?
Your firm’s admin invites you by email. Click the invite, set a password, and you’ll land in your firm’s private workspace. Nothing to install — AquiferOps runs in your web browser on a computer, phone, or tablet.
QI didn’t get my invitation email.
Check your spam or junk folder and search for “AquiferOps.” If it’s still missing, your firm’s admin can re-send the invite — and if the link is old it may have expired, so ask for a fresh one.
QI forgot my password.
Use the “Forgot password” link on the sign-in screen to reset it by email. Be sure to use the same email address your invite was sent to.
QWhere do I start? What’s the first thing to do?
A simple first path: add a client (under Work), create a project for them, add a site and its wells (under Field), bring in your data, then open the site to see your first analysis. Use the Guide in the app for help getting started. If you need more help, email support at support@aquiferops.com.
Bringing in your data
QHow do I get my lab results in?
Import your lab’s electronic data file into the project. The first time a lab’s format is new, you match its columns once and AquiferOps remembers it. As results load, each one is compared against the federal MCLs, plus a state library where the firm selects one in the site’s Screening Profile. Each comparison is labeled a screening result, not a compliance determination.
QMy lab file won’t import.
Usually it’s an unsupported file type or a missing required column, so double-check the file first. If a valid file still won’t go, don’t force a workaround: tell us through Support what you saw, and we’ll fix whatever is blocking the importer. Your team stays hands-on with your data — our job is making sure the tool loads it cleanly.
QHow do I enter a “non-detect” result?
Enter it as a non-detect — don’t substitute a made-up number like zero. AquiferOps handles non-detects correctly in the statistics using accepted methods (Kaplan-Meier and ROS), so entering them honestly keeps your numbers sound.
QMy field readings aren’t showing up.
Field mode works offline and syncs when the device is back in signal. Make sure the device that recorded the readings has reconnected so the sync can finish — and don’t re-enter them elsewhere first, or you may create duplicates.
Analysis & results
QWhy don’t I see a trend for an analyte yet?
A trend needs enough sampling events over time to be meaningful. With only one or two results there isn’t yet enough data to draw a trend — add the missing sampling events and it will populate.
QAn exceedance flag looks wrong to me.
First check that the value, units, and analyte name are entered correctly. AquiferOps flags results against the configured screening criteria. Your firm and its scientists and certified hydrologists are responsible for determining whether a result is a regulatory exceedance and what action to take. Contact support if the software appears to be applying or displaying the configured criteria incorrectly.
QWhich regulations does it check my data against?
It’s built around the federal EPA (SW-846) and ASTM standards used nationwide, with state-specific limits configurable. We’re getting a few states deeply right first — tell us yours and we’ll share where it stands before you rely on the flags.
QCan I trust the math?
The methods are the published, standard ones the field already trusts — Mann-Kendall with Sen’s slope for trends, Kaplan-Meier and ROS for non-detects, ASTM D2487 / USCS for soils, EPA SW-846 for holding times — not black-box approximations. Results trace back to their source data.
QA holding time shows as overdue — what does that mean?
The holding-time clock counts each sample against its lab limit (EPA SW-846 / state). “Overdue” means a sample has passed that limit, and your dashboard surfaces it under “What needs you today.” Your firm and its scientists and certified hydrologists are responsible for assessing the effect on data usability and deciding what action to take. Our support team can help troubleshoot the software’s timestamps, calculations, or display.
Reports & sharing
QMy report is missing figures or tables.
Reports assemble from your project data, so a missing figure usually means the underlying data isn’t in yet or isn’t marked ready. Add or approve the underlying data, then rebuild the report.
QThe report format doesn’t match what my regulator wants.
Reports follow the structure regulators are used to seeing, and templates can be tailored to your firm. If your state or program needs a specific layout, tell us the exact requirement and we’ll get it set up.
QHow do I share a project with my client?
The client portal gives each client a secure, read-only view of their own project — approved deliverables only, by a private link, scoped to the projects you choose, and revocable anytime. It’s included in every plan at no extra cost.
QHow do I get my data or reports back out?
Reports download as finished files, and your records and accounting export to spreadsheet (CSV). You own your data and can take it with you anytime.

QIs my data private and secure?
Yes. Each firm’s data is kept private to that firm, hosted on secure, industry-standard cloud infrastructure, and never sold or shared. You stay the owner of your data.
QWhat happens to my data if I cancel?
You can export your records and reports at any time (files and CSV), so your work is always yours to keep.
